Group Office Manager

As Office Manager you will be responsible for handling a wide range of administrative and executive support related tasks for our companies in Belgium and France. You will be the point of contact of colleagues, clients, suppliers and institutions for all administrative, invoicing, financial or leasing topics. Thanks to your professionalism and your exceptional soft skills, you will deal with many challenges that will allow AION Consulting to pursue its growth.



What will you do?


  • Manage invoicing and follow-up payments based on our commercial terms and our clients particularities ;

  • Manage expenses, credit notes and daily accountancy ; 

  • Control and validate timesheets, register employees holidays, work in collaboration with our payroll suppliers and insurances, coordinate onboarding of our new employees ; 

  • Order leasing cars based on our agreements and manage contracts with our suppliers, ensure a good follow-up of payments and deliveries, manage onboarding/exit leasing processes ;

  • Support consultants in business administration : Contracts, Statement of Work, RFI, RFQ…

  • Promote and implement new ways of working on our market by supporting our activities and participating to external and internal events ;

  • Analyze and improve existing processes and ways of working ;

  • Be part of the company board, make concrete decisions and be a game changer within AION Consulting.






  • A first experience in business administration, invoicing and hard HR is mandatory, preferably in consulting ;

  • Bilingual Dutch and French, with good level in English ;

  • Strong organizational skills and ability to manage multiple projects simultaneously ;

  • Strong business acumen and interest for startups and entrepreneurial context ;

  • Willing to work in fast-evolving environment and in a startup context ;

  • Not afraid of autonomy, responsibility and decision-making ;

  • Able to work effectively in an environment with complex and sometimes contradictory information ;

  • Adept at planning and prioritizing work to meet commitments aligned with organizational goals ;

  • Resilient in recovering from setbacks and skilled at finding detours around obstacles ;

  • Able to operate effectively, even when things are not clear or the way forward is not obvious ;

  • Adept at learning quickly, applying insights from past efforts to new situations.
